Supplier certificates expire. Your visibility should not.

A certificate in a shared folder is not a control if nobody knows whether it is current, applicable or due for review.

Go beyond expiry reminders

An automatic reminder only helps when the document is linked to the correct supplier, material, site and responsible reviewer. A register also needs the evidence source, dates, acceptance status and any gaps identified.

A certificate may be current but still not apply to the product or market in question. Review is more than checking the date printed on a PDF.

Use a risk-based review programme

Not every supplier file has the same consequences. A food-contact declaration, critical certification or customer-mandated approval can be more significant than general company information. Define which documents each supplier must supply and why.

When evidence is missing or inadequate, record the action taken and who authorised it. Avoid presenting an upload as if it were a verification.

  • Document type, issuer and current revision
  • Supplier, material and jurisdiction applicability
  • Expiry or review date and action owner
  • Internal acceptance, exception and follow-up

Turn compliance administration into a shared record

Quality, procurement and regulatory teams should be able to access the same current evidence for the relevant supplier relationship. SupplySpec supports this connected view without claiming to assess document authenticity independently.

General information only. SupplySpec supports documentation, record control and review workflows. It does not provide legal advice, independent certification or a guarantee of regulatory compliance.
